What a payroll specialist does

A payroll specialist turns contracts, hours, absences and changes into payslips and payments. Each month starts with the changes: new hires, leavers, pay rises, overtime, sick leave, a change of tax data. Then the payroll run, the checks against last month, the payment to the bank, the reports to the tax office and the social security bodies, and the entries for finance.

The work is exact and full of deadlines: payday does not move. In a small company one person runs payroll with an outside tax firm; in a large group, payroll teams run thousands of payslips in several countries, often with providers in each. The ladder runs from payroll administrator to head of payroll or HR operations; see the career paths.

The skills the ads ask for

We read a sample of the ads every day and count the skills they name. On a computer, hover a skill in the text to see its share; on a phone, the table has the same figures.

Your CV for a payroll specialist job

A payroll CV is read by hiring software on the words of the ad, then by a payroll manager who wants to know how many payslips, in which countries and systems, and how accurate they were.

Use the keywords the ads use

  • Name the work the way payroll ads name it: "end-to-end payroll", "gross-to-net", "year-end", "payroll reconciliation", "statutory reporting", "payroll audit". The skills table above shows which keywords the ads use most.
  • Name the system and what you did in it: "ran the monthly payroll for 400 staff in DATEVPayroll software of many tax firms and mid-sized companies: master data, monthly runs and reports. Lohn" beats a list of software.
  • Write a payroll qualification exactly as its body names it, and a course you are taking as "in progress", such as "CIPP Foundation Degree, in progress".
  • Never show a real payslip, a name or a salary figure of anyone on your CV.

Prove each skill

A payroll line proves itself with the scale, the countries and the accuracy: how many payslips, how few corrections, which deadlines kept.

Data protectionThe EU data protection rules: payroll data is personal, some of it sensitive, and access must be limited.GDPR.Cut access to payroll files from 25 people to 6 and set deletion dates for leavers' records.

How we read our data

  • The jobs: the payroll jobs in our job search, matched by their titles the same way the search matches them. Our list is not the whole market, so we show shares and rankings, never counts.
  • The skills: we read a sample of these ads every day and count the skills in them with a fixed word list, keeping the counts and never the text.
  • Pay: from published salary research, named with its source and date, as a range from entry level to senior; never from our ads.
  • Dates: the figures are worked out again each day and carry the day they were worked out.

Frequently asked questions

What does a payroll specialist do?
Calculates each employee's pay from gross to net, takes off tax and social security, pays the net amount, reports to the authorities and books the payroll for finance.
Is a payroll specialist the same as a Lohnbuchhalter?
Yes, in Germany: Lohnbuchhalter and Entgeltabrechner are the German titles for the same work.
Which payroll systems do ads ask for?
DATEV Lohn and SAP HCM in German-speaking countries, ADP and Workday in many international groups, and Excel everywhere for the checks.
Do I need a payroll qualification?
Not always. A course such as the CIPP awards in the UK, the FPC in the US or an IHK course in Germany helps a first job; experience counts most.
What should a payroll CV show first?
How many employees and countries you ran payroll for, in which systems, and how accurate and on time it was.
